We have sent you an important email - which will come to you via Submittable - with information about next steps, OR you can read on for these very important instructions about how to send in your sample.
DEADLINE FOR RECEIPT OF SAMPLES:
We need to receive your samples no later than January 10, 2024.
If we do not receive your sample by that date, it will delay our very strict judging process, and puts the entire mechanism at risk. As such, your submission will unfortunately have to be disqualified.
As we will already have done a lot of administration by then, we will not be able to reimburse your submission fee.
Please do not delay sending them in. If you anticipate any issues, email us at hello@artandolfaction.com immediately so we can do our best to accommodate you.
And read on for instructions about how to send them in.
Now that your have submitted, please prepare a package that includes the following items for each scent submitted:
1. A brief document stating:
+ Your name
+ The name of the perfume submitted
+ The category you are submitting in
2. A sample of the submitted perfume:
+ Please submit in a generic unbranded bottle.
+ Please do not send us spray bottles (unless the spray cap can be unscrewed).
+ Please make sure that your bottle is well-sealed.
+ Label your bottle with the perfume name, company name, and submission category. This is particularly important if you are sending more than one bottle in the package.
We highly recommend using pencil to label your samples. If there is a leak, the ink from a pen will run and we won't know whose sample it is.
Artisan, Independent Categories: We require a minimum of 25ml of each perfume. This amount ensures that we will have sufficient quantity to decant and send to the judges, who are located around the world.
Newcomer Award: If you are submitting to the Newcomers Award, we require an additional 10ml of the submitted perfume, above and beyond the 25ml required for artisan and independent.
Aftel Award: If you are submitting to the Aftel Award, we require an additional 10ml of the submitted perfume, above and beyond the 25ml required for artisan and independent.
Sadakichi Award: We require a minimum of 25ml per scent submitted. However, we can make special dispensations when the scent component is not in perfume form, or where there was too small a quantity made. Email us (hello@artandolfaction.com) if this is the case, and we’ll find the right solution. Please note also that if the project contains multiple perfume components, we can only accept up to 4 samples, per project submitted.

Please do not send your package with "Signature Required". It causes no end of trouble.
Remember, there are humans receiving and processing your package. Make it easy on us, and the environment, with these simple steps:
DONT'S
+ Do *not* use plastic packing tape on the bottle: It has a tendency to melt in transit and becomes a sticky mess.
+ Do *not* wrap each individual bottle in multiple layers of bubble wrap and packing tape. Remember that there is a human on the other end, having to open the package.
+ Do *not* label your bottles with ink pen. If there is a leak, that ink will run and we won't know which perfume the bottle contains.
+ Do *not* use a huge box for a tiny bottle.
+ Do *not* send us styrofoam packing peanuts. It's horrible for the planet, and it's horrible for us.
+ Do *not* require signature upon receipt of package. We are not always there to sign for it, but rest assured it is left in a very safe place.
DOS
+ Do make sure each individual submission sample is clearly labeled, if you are sending samples for multiple submissions in one box,.
+ Do use a good bottle with a good cap. Choose function over form: we do not judge the niceness of your bottle, we simply judge the perfume.
+ Do pack your bottle with one effective layer of padding. Use recycled paper wrapping, where possible.
+ Do use a box that is appropriate to the size of your bottle. Huge boxes are wasteful.
Please consider the environment when preparing your package: where possible, use glass and paper, and use the smallest box you can.
Once your bottle is received and logged, we will send you a note that it has arrived, and then decant the sample into generic vials, labeled only with a tracking number. Once that's done, we send them through to judging.
Your submission is not complete until we receive your bottle of perfume and we will send you another note once it arrives.
